The fine print, in plain English
Privacy Policy
How Halloween Nights Fear collects, uses and protects your personal information when you browse our site, book a ticket, or get in touch.
We only ask for what we need to get you into an event, keep you safe on the night, and process a refund if one is due. We never sell your data, and you can ask us to delete it at any time.
- We collect your name, contact details and booking information so we can sell you a ticket and get you into the event.
- Payments are handled by a secure third-party payment processor — we never see or store your full card number.
- We don’t sell your data and only send marketing if you’ve opted in. You can unsubscribe any time.
- You can ask to see, correct or delete your data, and complain to the ICO if you’re unhappy with how we’ve handled it.

01 Who we are
1.1 This website is operated by Halloween Nights Fear (“we”, “us”, “our”), the data controller responsible for your personal data. Our registered address is 15 Lonsdale Road, Barnes, London SW13 9DA, United Kingdom.
1.2 We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our registration reference with the Information Commissioner’s Office (ICO) is available on request.
1.3 If you have any question about this policy or your data, contact us at contact@halloweennightsfear.co.uk.
02 What information we collect
Depending on how you use the site, we may collect the following:
- Booking details — your name, email address, phone number, the event, date and time slot you book, ticket quantity, and any discount code used.
- Party information — the number of people in your booking, including a headcount of any attendees under 18, used only for capacity and safety planning on the night.
- Payment information — card payments are taken by our third-party payment processor. We receive confirmation that a payment succeeded and a partial reference, but we do not store your full card number or security code.
- Account details — if you create an account to manage or re-send tickets, your login email and saved booking history.
- Communications — the content of any emails, contact-form messages or calls you send us, and our replies.
- Technical & usage data — collected automatically as you browse: IP address, device and browser type, pages viewed, and referring links, gathered through cookies and similar technologies (see Section 7).
03 How we collect it
3.1 Directly from you — when you make a booking, create an account, sign up to our newsletter, or contact us.
3.2 Automatically — through cookies and analytics tools when you use the site.
3.3 From our service providers — for example, confirmation of a successful payment from our payment processor, or delivery status from our email and ticketing platform.
04 Why we use your data — and our lawful basis
Under UK data protection law we must have a lawful basis for each use of your data. Ours are set out below.
| What we do | Lawful basis |
|---|---|
| Process your booking and issue your ticket | Performance of our contract with you |
| Send booking confirmations and event reminders | Performance of our contract with you |
| Capacity and safety planning at each venue | Legitimate interests (running a safe event) |
| Handle refunds, changes and customer support | Contract / legitimate interests |
| Send marketing emails about future events | Your consent (opt-in) |
| Improve the site and understand how it’s used | Legitimate interests / consent for analytics cookies |
| Prevent fraud and misuse of tickets | Legitimate interests |
| Meet legal, tax and accounting obligations | Legal obligation |
Where we rely on legitimate interests, we’ve considered your rights and freedoms and only proceed where our interest doesn’t override them. You can object to this processing at any time (see Section 12).
05 Children’s data
5.1 Our events are open to all ages, and under-18s are welcome when accompanied by a parent or guardian. Where a booking includes a headcount of attendees under 18, this information is used solely for capacity and safety planning and is kept only as long as needed for that purpose.
5.2 We do not knowingly collect more personal data about a child than is necessary, and we do not send marketing to anyone we know to be under 18.
5.3 Accounts and bookings should be made by an adult (18 or over). If you believe a child has given us personal data without a guardian’s involvement, contact us and we will delete it.
06 Marketing
6.1 We’ll only send you marketing emails about future events, offers and next year’s line-up if you’ve opted in — for example by signing up to our newsletter.
6.2 Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or emailing us. Opting out of marketing won’t stop essential service messages about a booking you’ve already made (confirmations, reminders, refund updates).
07 Cookies & analytics
7.1 We use cookies and similar technologies to make the site work, remember your basket and preferences, and understand how visitors use our pages so we can improve them.
7.2 Essential cookies are needed for the site and booking process to function. Analytics and marketing cookies are only set with your consent, which you give through our cookie banner and can change at any time.
7.3 Most browsers let you block or delete cookies through their settings, though some parts of the site may not work properly if you do.
08 Who we share your data with
We never sell your personal data. We share it only with trusted parties who help us run the events and the site, and only as far as they need it:
- Payment processor — to take and secure your payment.
- Ticketing & email platform — to issue tickets and send confirmations and reminders.
- Venues and event staff — a headcount and, where relevant, accessibility needs, purely for capacity and safety planning on the night. We don’t hand over marketing lists.
- Hosting and analytics providers — who keep the website running and help us understand usage.
- Professional advisers and authorities — such as accountants, or law enforcement where we’re legally required to disclose information.
All our processors are bound by contract to protect your data and use it only on our instructions.
09 Transfers outside the UK
Some of our providers may process data outside the UK. Where they do, we make sure appropriate safeguards are in place — such as a UK adequacy decision for the country concerned, or standard contractual clauses approved for use under UK law — so your data keeps the same protection it has here.
10 How long we keep it
| Type of data | How long we keep it |
|---|---|
| Booking & ticket records | Up to 6 years after the event, to meet tax and accounting rules |
| Under-18 headcount / safety data | Deleted shortly after the event date once no longer needed |
| Marketing preferences | Until you unsubscribe or ask us to delete them |
| Support correspondence | Up to 2 years after your query is resolved |
| Website analytics | Retained in line with our analytics tool’s standard period |
11 Keeping your data secure
We use appropriate technical and organisational measures to protect your data — including encrypted connections (HTTPS), restricted staff access, and reputable processors for payments and ticketing. No system is ever completely secure, but we take reasonable steps to guard against loss, misuse or unauthorised access, and we’ll notify you and the ICO where the law requires it if a serious breach occurs.
12 Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your data — that’s what this policy is for.
- Access a copy of the personal data we hold about you.
- Rectify data that’s inaccurate or incomplete.
- Erase your data (“right to be forgotten”), where there’s no overriding reason for us to keep it.
- Restrict or object to certain processing, including direct marketing.
- Data portability — receive your data in a portable format.
- Withdraw consent at any time, where we rely on it.
To exercise any of these, email contact@halloweennightsfear.co.uk. We’ll respond within one month and won’t charge a fee in normal circumstances. We may need to verify your identity first.
13 Complaints
If you’re unhappy with how we’ve handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
14 Changes to this policy
We may update this policy from time to time. The version published here is the one in force, and we’ll update the “last updated” date at the top whenever we make a change. Significant changes will be highlighted on the site.
